Turn a simple web form submission into a polished, branded PDF pricing proposal — priced from your live Excel rate sheet and delivered by email in seconds.

Who's it for

Consultants, agencies, MSPs, and service businesses that quote from a standard rate card and want sales-ready proposals generated instantly instead of assembled by hand.

How it works

• A web form POSTs the prospect name, selected services, discount tier, and requestor info to the webhook endpoint
• The workflow pulls your full rate card from a pricing_request.xlsx table in OneDrive/SharePoint (starter template linked in the workflow)
• A Code node filters the rows to the selected services, applies the correct price tier (Discount, Retail, or Premium), and calculates the total
• A second Code node renders a fully branded HTML proposal with cover details, a line-item pricing table, terms, and a signature block
• The HTML is converted to a print-ready PDF by a self-hosted Gotenberg instance
• The PDF is emailed as an attachment via Microsoft Outlook to the requestor and your internal team

How to set up

1. Set the webhook path to match your form's POST URL
2. Connect a Microsoft Excel credential and select your workbook, worksheet, and table
3. Confirm the column names in the Process & Price node match your sheet (Title, Description, Cost, Discount, Retail, Premium, Unit)
4. Replace YOUR_LOGO_URL and the brand color variables in Build HTML Proposal
5. Point the Gotenberg node at your instance and attach a Basic Auth credential
6. Connect Microsoft Outlook OAuth2 and replace YOUR_INTERNAL_EMAIL in the send node

Requirements

• Microsoft 365 account (Excel + Outlook)
• Self-hosted Gotenberg instance for PDF conversion
• A web form capable of POSTing JSON (any HTML form, WordPress form plugin, or app)

How to customize the workflow

• Add new price tiers by extending the switch block in Process & Price
• Update the CSS variables and logo in Build HTML Proposal to match your brand
• Change the 30-day validity period in the proposal HTML and email body
• Swap Outlook for Gmail or SMTP by replacing the send node
